Services · Coaching first

Coach the skills.
Wire the tools you already run.

Practical AI coaching for owners and teams who need judgment — with optional setup in HighLevel, GenTeam, your CRM, agents, and workflows you already pay for.

Every engagement starts with an AI readiness audit: a two-hour session that tells you honestly where AI is worth your money and where coaching beats more software. What happens after that is your call — coach first, setup when it saves time. Our audit draws on widely used guidance such as the NIST AI Risk Management Framework.

AI readiness audit and coaching program at RockStar AI Coaching
01 · Two engagements Coach first · Setup when needed

Coaching builds the capability. Setup gets you moving in the stack you already run.

Coach trains judgment and habits on your real work.

Setup configures HighLevel, GenTeam, agents, automations, and CRM workflows you already pay for — then hands the keys back. Most clients start with coaching and add setup where it saves time.

01 · Primary · Coach

Train your team to use AI with judgment — on the work they already do.

Skills, judgment, habits.

No generic curriculum. We coach owners and teams on the decision-making, prompts, workflows, and review habits that make AI useful day to day. You finish sharper, with working patterns your people can keep running without us.

What's inside

  • Live coaching sessions with the people who'll run it
  • Readiness audits and opportunity mapping
  • Workflow design mapped into tools you already use
  • Team enablement on the habits you ship
  • A repeatable playbook for the next workflow
Best if… You want capability living inside your business. Your team is capable and curious. You're planning for more than one workflow, not just a one-off tool install.
02 · Support · Setup

When you need the tools configured, we set up what you already use.

In the stack you already run.

Some owners want the wiring done for them. We configure HighLevel, GenTeam, agents, automations, and CRM workflows you already pay for — then document, train, and hand the keys back. Coaching stays the hero; setup is the accelerator.

What's inside

  • Existing-tool configuration (not greenfield stacks)
  • Agents, automations, and workflow wiring
  • Integrations into software you already own
  • Monitoring and tuning baked into handover
  • Docs and training so your team can keep it alive
Best if… There's a high-impact workflow you want running in tools you already pay for. Your team wants ownership after handover — not a vendor lock-in or a brand-new stack invented from scratch.
02 · Side by side Coach vs Setup

Same destination. Different seating chart.

Every row is a decision you'd otherwise make on the fly at week three. Here they are in one place so you can pick the lane before the invoice arrives.

03 · Engagement blueprint What's included

How an engagement actually runs, week by week.

Every engagement follows the same six phases. What changes is who's holding the pen, and how much of your team's calendar it eats. Coaching is the default; setup slots in where wiring saves time.

Readiness audit

Two hours with owner and 1–2 operators. We ask what the business does, where the hours are going, and where AI might belong. You leave with a written read-out and a candid go / no-go — even if the go is "not this year."

Inputs One conversation. Access to the process, not the sales pitch.
Outputs Written readiness read-out. Go / no-go. First-cut opportunity list.

Opportunity mapping

We interview the people doing the work — usually 4–8 of them — and rank every candidate process on effort, impact and risk. You get a prioritised backlog you can act on with or without us, and a short list of what to coach first.

Inputs Access to the operators. Existing process docs if they exist. If not, we make them.
Outputs Ranked backlog. ROI thesis for the top three. First workflow scoped.

Workflow design sessions

Map how AI fits into tools you already use — HighLevel, GenTeam, CRM, agents — before anyone clicks Build. Prompts, review habits, escalation, guardrails. Cheaper to argue about a map than a live misfire.

Inputs Signed-off backlog. Access to whichever tools the workflow will touch.
Outputs Workflow map. Habit checklist. Guardrails. Rollback plan.

Coaching sprints (and setup if needed)

Live sessions on your real work. In Coach, your team practices judgment and we coach through the friction. When setup helps, we configure the software you already run — with your team still in the room.

Inputs Signed workflow map. Access. A named product owner on your side.
Outputs Working habits and, where scoped, configured tools in your stack. Not a demo.

Handover & enablement

Documentation, decision logs, runbooks, and training for the people who'll operate the workflow. Everyone who touches it should know how to run it, review it, and know when to shut it off.

Inputs Live habits and tools. The team on-side to be trained.
Outputs Runbooks. Decision log. Trained operators. Light monitoring rhythm.

Momentum & monitoring

Optional. A monthly review cadence for the first 60–90 days: what's working, what to tune, and what's queued next. If you don't need us in the room, we won't be — but the door stays open for the next workflow.

Inputs Running habits and tools. Your ops team's calendar.
Outputs Monthly review. Tuning changes. Next-workflow shortlist.
04 · Packages Ways to start

Three ways in. Priced honestly, scoped tight.

Every engagement starts at the top of the ladder and moves down if it should. We'll tell you which rung you're on — you don't have to guess.

06 · Process How the work goes

Four beats, in this order, every time.

Same four beats whether you're in Coach or Setup. The order is not optional — that's how the habits and tools survive handover.

01

Map the work

We sit with the people doing the work and mark where a human decides, where information just moves, and where hours quietly disappear.

02

Coach the workflow

Skills and judgment first: how your team should use AI on those processes — prompts, review habits, escalation — before any heavy setup.

03

Wire into your tools

When setup helps, we configure the software you already run. Your team stays in the room so they see how it fits their day.

04

Your team owns it

Documentation, enablement, and a light monitoring rhythm so the habits and tools keep working after we're gone.

07 · Outcomes What owners tell us afterwards

What good looks like, in the words of operators — not marketing.

No fabricated percentages, no case-study screenshots, no logo salad. These are the four things owners consistently say after coaching lands. If they don't happen, we haven't delivered.

Outcome · 01

Hours quietly come back.

The manual work the team was doing in the background stops being manual. Nobody throws a party — the day just gets less full.

Outcome · 02

Decisions get shorter.

AI does the assembly, the human does the judgement. Reviews get faster because the reading pile shrinks — and the team knows when to override.

Outcome · 03

The team owns it.

Nobody's waiting on a vendor to change a prompt. The people who operate the workflow can also tune it, and know when to turn it off.

Outcome · 04

The next workflow is easier.

You've got the muscle, the playbook and the receipts. The second workflow doesn't need us. Usually the third one confirms it.

"We didn't need another vendor. We needed our team to use AI with judgment — in the tools we already pay for. That's what we got."
Operator sentiment · composite of engagement debriefs
Honest note · we don't publish precise stats we can't stand behind. We'll walk you through real engagements on a call — with the operators, not the marketing.
08 · Fit Who this is for

Built for owners who want their team using AI with judgment — not watching a vendor forever.

If both columns describe you, book the audit — we'll figure out the rest on the call. If the right column is closer to home, save the money.

A fit if…

  • You've got a real business with real processes that are eating hours.
  • Your team is capable and curious, even if they've barely touched AI.
  • You want skills inside your business, wired into tools you already pay for.
  • You'd rather hear "don't automate that" than pay to find out.
  • You can put a named product owner on our side of the table for the length of the sprint.

Not a fit if…

  • You're looking for a demo, a proof of concept, or a slide deck.
  • Nobody on your team has time to sit in a coaching session.
  • You want a greenfield tech stack invented from scratch — we work with what you run.
  • You want us to be your AI department forever — we won't.
  • You're pre-revenue or pre-process. Come back when there's something to work on.
09 · Services FAQ Common questions

What owners actually ask us before they book the audit.

If your question isn't here, it's probably a good one for the strategy call — send it over and we'll answer it there.

Do we need to know anything about AI to work with you?
No. Coaching starts from how your work gets done today. If your team can describe that, that's the starting line. If they can't describe it either, that's what phase one is for.
How long until we see something useful?
The audit is about two hours. Most teams see clearer habits and a first working workflow inside four to six weeks. If someone's promising same-week magic, ask what they're skipping.
Coach or Setup — which one should we pick?
Coaching is the default. Setup is available when you want the tools you already run configured for you — then we train your team to own them. Most clients start with coaching and add setup where it saves time.
What does an engagement actually cost?
The audit is fixed. Everything after is quoted per engagement after we've seen the work — usually a five-figure number for a first workflow, sometimes six for larger scopes. No hourly billing, no retainer traps, no seat licences. If the read-out is "not now," you pay for the audit and nothing else.
What if the audit says AI isn't worth it for us right now?
Then that's the answer, and you got it before you spent the money. Some processes shouldn't be automated. Some businesses aren't ready. We'll tell you plainly and point you at whatever the actual next move is — often it isn't AI at all.
Do you invent a new stack, or work with what we already run?
We coach inside — and optionally configure — the tools you already use: HighLevel, GenTeam, CRM, agents, workflows. We're not resellers and we don't invent greenfield stacks. If you don't have a stack yet, we'll help you pick something your team can maintain.
Do you sign NDAs, DPAs and all the paperwork?
Yes. Standard NDA on request before the audit, DPA on request before any data touches our environment. If your legal team has their own template, we'll work off theirs — it's usually faster.
What happens after handover? Are you gone for good?
Not gone — just off the payroll. The optional monitoring window keeps us on-call for 60–90 days if you want a safety net. After that, most clients only bring us back when there's a new workflow to coach. That's the point.
Can you work with regulated data — health, finance, legal?
Yes, with the right guardrails and hosting. We'll design for your regulatory posture in the workflow-design phase and won't ship anything that puts you offside. If your regulator has already ruled something out, we won't try to rules-lawyer our way in.

Two hours. One honest read. Zero pressure.

The audit tells you where AI is worth your money in your business specifically — and where coaching beats more software. If the answer is nowhere right now, we'll say that too.
